Technology Offboarding Checklist For Non-Returning Employees

Access to Brearley Systems and Email will be removed upon official notification of termination or departure, or at the end of the business day on the last day of employment. If you are a Faculty member, your account will be terminated by August 31st.

If extended access is required, please email your supervisor and HR department. Once approved, contact the Helpdesk with a copy of approval.

Access includes Google Workspace (email, docs, calendar, etc.),VPN/network, network drives, portal and databases, license access to Zoom, Microsoft 365, Adobe Creative Cloud.

To offboard an employee, a supervisor or a member of the HR Department must fill out this form

Offboarding Steps for the Employee
  • Confirm that all electronic files containing Brearley data from personally owned computers, mobile devices, storage media (hard drives/flash drives) have been migrated to a shared drive (if applicable) designated by your manager and removed from personal devices.
  • Inform others that you will no longer be available at your Brearley email address. Check our guide on how to set up an Away/Out of office message for your email
  • Return computer, iPad, cell phone, all applicable chargers and any other Brearley-owned equipment to the Technology Department. Make sure passcodes and Apple IDs are removed from mobile devices
  • Removal from the directory is automatic but if you'd like to keep receiving news and important information, send your non-Brearley email address to our helpdesk team
  • Grant access to important files and emails and transfer ownership of data and Google applications to your supervisor.
  • Review internal departmental reporting and communication to ensure any automatically generated reports are forwarded to the right person. Contact the helpdesk for assistance.
  • Verify that your Brearley email address is not linked to any personal websites, services or accounts (Facebook, Amazon, transportation, flights, trips, Multi-Factor Authentication, etc.).
  • If you wish to migrate your Brearley email and Drive data, you may do so with Google Takeout

Offboarding Steps for the Manager/Supervisor
  • Confirm that all electronic files containing Brearley data from personally owned computers, mobile devices, storage media (hard drives/flash drives) have been migrated to a shared drive (if applicable) and removed from personal devices.
  • If the employee is retaining another role at Brearley, contact the helpdesk to remove access to other systems, including departmental drives or group memberships, for example. This is important especially when the employee has a status change and their account will remain active in the case of a dual role or otherwise.
  • Ensure that the employee has returned any Brearley-owned property including devices, keys, and ID card
  • Verify removal of employee from Department Webpages. Directory removal is automatic unless the employee is retaining a subsequent active status .
  • Have the employee provide you with access to important documents, files and emails and transfer ownership of data and Google applications. . Approval from Human Resources is necessary if you require access to an employee’s account after termination is completed.
  • Review internal departmental reporting and communication to ensure any automatically generated reports are forwarded to the right person. Contact the helpdesk for assistance.
  • Ensure access to employees Voicemail and have them forward their phone if needed. This can be done by contacting the Help Desk.
Brearley Owned Devices

Devices must be returned to the Technology Office in 610 | 2L or 590 | 1106W for their inspection at any time but must be returned by July 1st or to HR during your exit meeting. During this time, our team will ensure the device is in good working condition and that personal accounts and passcodes (iPad, iPhone, Apple ID) have been removed. You can find more information on how to prepare your device for return here. Once the device is returned, our team will wipe all user data. Please note, deleted data cannot be retrieved.

Due to the Faculty Laptop Agreement for 2025-2027, you are not eligible to keep or purchase your laptop

Staff and Administrators are not eligible to purchase technology equipment.

  • If an employee requires access to email after their departure date, please notify the HR department.
  • Request for continued access or departmental access must be approved by HR.
  • If employee manages another user's calendar/email, please transfer permissions.
  • If applicable, set up an out-of-office message
  • If you wish to migrate your Brearley email and Drive data, you may do so with Google Takeout

Software/Apps
